Searching and Filtering Leads

As your lead database grows, finding specific leads quickly becomes essential. This guide covers all the ways to search and filter your leads.

Search Functionality

  1. Go to Leads page
  2. Use the search bar at the top
  3. Type any of the following:
    • Name (first or last)
    • Email address
    • Phone number
    • Destination
    • Notes content

Search Tips

  • Partial matches work - You don't need to type the full name
  • Case insensitive - Search works with any capitalization
  • Real-time results - Results update as you type
  • Clear search - Click the X icon to clear and see all leads

For more specific searches:

  1. Click the search icon or press ⌘K (Mac) / Ctrl+K (Windows)
  2. Type "leads" to filter command palette to lead actions
  3. Start typing the lead name
  4. Select from results

Filtering Leads

Status Filter

Filter by lead status:

  1. In the leads list, find the status filter dropdown
  2. Select one or more statuses:
    • New
    • Qualified
    • Quoted
    • Following Up
    • Booked
    • Dead
  3. View filtered results

Source Filter

Filter by how leads found you:

  • Website
  • Referral
  • Email
  • Phone
  • Social Media
  • Event
  • Other

Sorting Options

Organize your leads list by clicking any column header:

  • Name - Sort alphabetically by contact name (A-Z or Z-A)
  • Email - Sort by email address
  • Destination - Sort by trip destination
  • Status - Sort by trip status
  • Assigned - Sort by assigned team member

Click a column header to sort ascending, click again to sort descending. The active sort column shows an arrow indicator (↑ or ↓).

Combined Filters

You can use multiple filters at once:

  1. Search for a name
  2. Filter by status (e.g., "Following Up")
  3. Sort by last updated
  4. See highly targeted results

Saved Views

Create saved views for common searches:

Creating a Saved View

  1. Apply your desired filters and search
  2. Click "Save View" or the bookmark icon
  3. Name your view (e.g., "Hot Leads", "This Week's New Leads")
  4. Click "Save"

Using Saved Views

  1. Click "Saved Views" dropdown
  2. Select your saved view
  3. Instantly apply your saved filters
  • Hot Leads - Status = "Following Up"
  • This Week - Created this week
  • Needs Follow-up - Last updated > 7 days ago
  • My Assigned Leads - Assigned to me
  • High Budget - Budget > $10,000

Advanced Filtering Tips

Finding Overdue Follow-ups

  1. Filter by status: "Quoted" or "Following Up"
  2. Sort by "Last Updated"
  3. Look for leads not updated recently
  4. Create tasks to follow up

Finding High-Value Leads

  1. No status filter (show all)
  2. Sort or filter by budget (if you track budget)
  3. Focus on leads with higher budgets

Finding Leads by Destination

  1. Use search bar
  2. Type destination name (e.g., "Italy")
  3. See all leads interested in that destination

Keyboard Shortcuts

Speed up your searches:

  • ⌘K / Ctrl+K - Open command palette
  • ⌘F / Ctrl+F - Focus search bar (if available)
  • Esc - Clear search or close filters

Exporting Filtered Results

After filtering:

  1. Apply your filters
  2. Click "Export" button
  3. Choose CSV format
  4. Export only the filtered results

This is useful for:

  • Creating targeted email lists
  • Reporting on specific lead segments
  • Analyzing filtered groups

Tips for Efficient Searching

  1. Use saved views - Don't recreate the same filters repeatedly
  2. Clear filters regularly - Make sure you're not missing leads
  3. Combine search + filters - Use both for precise results
  4. Name views clearly - Use descriptive names for saved views
  5. Review saved views - Clean up views you no longer use
