The Lead Detail Workspace

The lead detail page is your command center for managing each lead. This guide covers all the features and tabs available.

Accessing Lead Details

To open a lead:

  1. Go to Leads page
  2. Click on any lead card
  3. Lead detail page opens

Page Overview

The lead detail page is organized into tabs:

  • Overview - Key information, working trip details, notes, communications, and contacts
  • Tasks - Reminders and to-dos
  • Files - Documents and attachments
  • Itinerary - Build and manage trip itineraries (requires working trip)
  • Quotes - Create and manage proposals (requires working trip)
  • Portal - Build and share client portal, including invoice management (requires working trip)

Overview Tab

Key Information

At the top, see:

  • Lead name and contact info
  • Status badge (click to change)
  • Assigned team member
  • Quick actions (Edit, Delete)

Details Section

  • Contact Information - Email, phone
  • Travel Preferences - Destination, budget
  • Source - How they found you
  • Created/Updated - Timestamps

Communications Section

  • View recent communications (calls, emails, meetings, SMS, notes)
  • Log new communications using the "Log Activity" button
  • See AI-powered follow-up suggestions after logging communications

Notes Section

  • View and add trip-specific notes
  • Notes are stored as Activity records (type "NOTE")
  • Notes appear in both the Notes section and Timeline
  • Use "Log Activity" button to quickly add notes

Contacts Section

  • View primary contact and additional contacts
  • Link existing contacts or add new ones
  • Manage contact relationships

Quick Actions

From the lead header, you can:

  • Call - Quick call button (opens phone dialer)
  • Email - Quick email button (opens email client)
  • Log Activity - Opens dialog to log calls, emails, meetings, SMS, or notes
  • More Actions - Additional options in dropdown menu

From Overview, you can:

  • Edit lead details
  • Create a task
  • View and edit trip notes (stored as Activity records)
  • Change status

Timeline (In Overview Tab)

The Overview tab includes a timeline view showing recent activity:

  • Recent communications - Latest calls, emails, meetings, SMS, and notes
  • Recent tasks - Latest task activity
  • Status changes - When status was updated
  • Files uploaded - Recent file attachments
  • Notes added - Recent notes added

All activities are also visible in the communications section and notes section of the Overview tab.

Tasks Tab

Manage all tasks related to this lead.

Viewing Tasks

  • Pending tasks - Shown at the top
  • Completed tasks - Collapsible section at bottom
  • Task details - Title, due date, assignee, completion status

Creating Tasks

  1. Click "Add Task"
  2. Enter task title
  3. Set due date (required)
  4. Optionally assign to team member
  5. Click "Create Task"

Task Actions

  • Mark complete - Click checkbox
  • Edit task - Click menu → Edit
  • Delete task - Click menu → Delete

Communications (In Overview Tab)

Track all interactions with the lead directly from the Overview tab.

Logging Communications

Using Log Activity Button (Recommended):

  1. Click "Log Activity" button in the lead header
  2. Select type:
    • Call - Phone conversations
    • Email - Email exchanges
    • SMS - Text messages
    • Meeting - In-person or video meetings
    • Note - Internal notes
  3. Enter notes/description
  4. Click "Log Activity"

Communication History

View all logged communications in the Overview tab:

  • Chronologically sorted (most recent first)
  • Shows type, date, author, and notes
  • AI-powered follow-up suggestions appear after logging
  • All communications are associated with the working trip

AI Suggestions

After logging a communication, LeadsFollow automatically:

  • Suggests your next best action
  • Drafts a personalized follow-up message
  • Recommends when to follow up

Files Tab

Manage documents and attachments.

Uploading Files

  1. Click "Upload File"
  2. Select file(s) or drag and drop
  3. Add description (optional)
  4. Upload

File Management

  • View files - Click to preview or download
  • Organize - Add descriptions and tags
  • Delete - Remove files when no longer needed
  • Share - Generate share links for clients

Supported File Types

  • PDFs
  • Images (JPG, PNG, etc.)
  • Documents (Word, Excel, etc.)
  • Any file type

Notes (In Overview Tab)

Notes are stored as Activity records with type "NOTE" and appear in the Overview tab.

Adding Notes

There are two ways to add notes:

Method 1: Using Log Activity Button

  1. Click "Log Activity" button in the lead header
  2. Select "Note" from the Type dropdown
  3. Enter your note text
  4. Click "Log Activity"

Method 2: From Overview Tab

  1. Go to Overview tab
  2. Scroll to the Notes section
  3. Click "Add Note" or use the notes input area
  4. Enter your note
  5. Save

Note Features

  • Stored as Activities - Notes are Activity records, appearing in both Notes section and Timeline
  • Trip-specific - Notes are associated with the working trip
  • Timestamp - Automatically recorded
  • Author - See who wrote each note
  • Edit/Delete - Modify or remove notes from the Timeline
  • Trip Notes - Trip-specific notes appear at the top of the Notes section

Contacts (In Overview Tab)

Manage related contacts for this lead directly from the Overview tab.

Viewing Contacts

  • Primary contact - Main person for this lead (shown at top)
  • Additional contacts - Other people associated with this lead
  • Contact information includes name, email, and phone

Adding Contacts

  1. In the Contacts section of Overview tab, click "Link Contact"
  2. Search for existing contact or create new one
  3. Optionally set contact role
  4. Link to lead

Contact Relationships

  • Primary contact - Main person for this lead
  • Travelers - Other people traveling
  • Referrers - People who referred this lead

Trips (In Overview Tab)

Manage multiple trips for this lead directly from the Overview tab.

Creating Trips

  1. In the Overview tab, click "Add Trip" button
  2. Enter trip details:
    • Destination
    • Departure date
    • Return date
    • Number of travelers
    • Budget (single amount)
    • Status
  3. Save

Working Trip

One trip can be marked as the "Working Trip" - the trip you're currently focusing on. This trip's details appear in the Overview tab and enable access to:

  • Itinerary tab - Build day-by-day itineraries
  • Quotes tab - Create and send proposals
  • Portal tab - Build and share client portal (includes invoice management)

Trip Management

  • View all trips in the Overview tab
  • Switch working trip using the trip switcher
  • Manage trip status
  • Link tasks and communications to specific trips
  • Edit trip details inline

Portal Features Tabs

These tabs are only available when a lead has a working trip:

Itinerary Tab

Build and manage day-by-day trip itineraries:

  • Add activities, meals, accommodations per day
  • Drag and drop to reorder
  • Set times and locations
  • Preview itinerary before sharing

Quotes Tab

Create professional proposals:

  • Add sections and line items
  • Customize pricing
  • Send to clients
  • Track quote status

Portal Tab

Build and share client portals, including invoice management:

  • Invoice Management - Create invoices, track payments, send payment reminders
  • Portal Configuration - Configure portal settings
  • Client View - Preview what clients see
  • Share Links - Generate share links for clients
  • Customization - Customize portal appearance

Tips for Using the Workspace

  1. Use tabs efficiently - Switch between tabs to see different aspects
  2. Keep timeline updated - Log communications and tasks regularly
  3. Use notes for context - Document important information
  4. Organize files - Upload relevant documents
  5. Track multiple trips - Use trips tab for clients planning multiple vacations

Keyboard Shortcuts

  • E - Edit lead (when on overview)
  • T - Add task (quick)
  • N - Add note (quick)
  • Esc - Close dialogs or go back
