Creating Trips

Each lead can have multiple trips. This guide shows you how to create and manage trips for your leads.

Why Multiple Trips?

Travel agents often work with clients who plan multiple trips:

  • A honeymoon now, and a future anniversary trip
  • A business trip this month, and a vacation next year
  • Multiple destinations for different purposes

LeadsFollow lets you manage all trips for a lead in one place.

Creating a Trip

Step 1: Open the Lead

  1. Navigate to the lead detail page
  2. Go to the Trips tab

Step 2: Add a New Trip

  1. Click "Add Trip" button
  2. Fill in trip information

Step 3: Trip Details

Required Information:

  • Destination - Where the trip is to (e.g., "Italy", "Japan")
  • Departure Date - When the trip starts
  • Return Date - When the trip ends

Optional Information:

  • Number of Travelers - How many people (defaults to 1)
  • Budget - Total budget amount for this trip
  • Status - Current trip status (defaults to PLANNING)

Step 4: Save the Trip

  1. Review all information
  2. Click "Create Trip"
  3. The trip appears in the trips list

Trip Statuses

Trips have their own status system:

  • PLANNING - Initial planning phase
  • QUOTED - Quote sent for this trip
  • BOOKED - Trip is confirmed and booked
  • IN_PROGRESS - Trip is currently happening
  • COMPLETED - Trip has finished
  • CANCELLED - Trip was cancelled

Setting the Working Trip

One trip can be marked as the "Working Trip" - this is the trip you're currently focusing on for this lead.

To Set Working Trip:

  1. In the Overview tab, find the trip in the trips section
  2. Use the trip switcher or click "Set as Working Trip"
  3. This trip becomes the active focus

Working Trip Benefits:

  • Appears in the lead header and Overview tab
  • Tasks and communications can be linked to it
  • Enables access to Portal features:
    • Itinerary tab - Build day-by-day itineraries
    • Quotes tab - Create and send proposals
    • Portal tab - Build and share client portal (includes invoice management)
  • Quick access to trip details

Managing Multiple Trips

Viewing All Trips

In the Overview tab, you'll see:

  • All trips for this lead
  • Status of each trip
  • Dates for each trip
  • Working trip indicator

Switching Between Trips

  1. Use the trip switcher in the Overview tab
  2. Or click on any trip in the trips list
  3. Set as working trip if needed

Trip Activity

Each trip's activity is shown in the Overview tab:

  • Communications related to this trip
  • Tasks for this trip
  • Files and documents
  • Status changes
  • Notes specific to this trip

Linking Items to Trips

You can link various items to specific trips:

Tasks

When creating a task:

  1. Associate it with a trip
  2. Task appears in trip timeline
  3. Helps organize work by trip

Communications

When logging communications:

  1. Link to a specific trip
  2. Track conversations about that trip
  3. Maintain clear history

Files

Upload files to a specific trip:

  1. Upload document
  2. Associate with trip
  3. Organize by trip context

Trip Details and Portal Features

When a trip is set as the working trip, you can access Portal features from the lead detail page:

  • Itinerary Tab - Build day-by-day trip itineraries
  • Quotes Tab - Create professional proposals
  • Portal Tab - Build and share client portal with clients (includes invoice management)

Adding Trip Notes

Trip notes are stored as Activity records (type "NOTE"):

  1. Use the "Log Activity" button in the lead header
  2. Select "Note" from the Type dropdown
  3. Enter your note
  4. The note will be associated with the working trip and appear in the Notes section of the Overview tab

Tips for Managing Trips

  1. Create trips early - Don't wait until booking
  2. Use descriptive destinations - "Italy - Rome & Florence" vs just "Italy"
  3. Set working trip - Focus on one trip at a time
  4. Link everything - Tasks, communications, files to specific trips
  5. Update status regularly - Keep trip statuses current
