Inviting Team Members

Expand your team and collaborate on leads together. This guide shows you how to invite team members to your LeadsFollow organization.

Who Can Invite?

  • Owners - Can invite anyone
  • Admins - Can invite new members
  • Agents - Cannot invite (contact owner/admin)

Inviting a Team Member

Step 1: Navigate to Team Page

  1. Click "Team" in the sidebar
  2. Or go to /dashboard/team

Step 2: Send Invitation

  1. Click "Invite Member" button
  2. Enter email address of person to invite
  3. Select role:
    • Owner - Full access, can manage organization
    • Admin - Can manage team and leads, cannot delete org
    • Agent - Can manage assigned leads, limited access
  4. Click "Send Invitation"

Step 3: Invitation Sent

  • Invitation email sent to the address
  • Invitation appears in pending invitations list
  • Person receives email with invitation link

Understanding Roles

Owner

  • Full organization control
  • Manage billing and settings
  • Invite and remove members
  • Change member roles
  • Delete organization
  • All lead and data access

Admin

  • Manage team members (invite/remove)
  • Manage all leads
  • Access organization settings
  • Cannot delete organization
  • Cannot change owner
  • Cannot manage billing

Agent

  • Manage assigned leads
  • Create leads, tasks, communications
  • Cannot access organization settings
  • Cannot manage team
  • Cannot manage billing

Accepting Invitations

For the Invited Person

  1. Check email for invitation
  2. Click invitation link
  3. Sign in (or create account if needed)
  4. Accept invitation
  5. Added to organization automatically
  • Check if link expired
  • Ask for new invitation
  • Verify email address was correct

Managing Team Members

Viewing Team

Team page shows:

  • Active members - Current team members
  • Pending invitations - Sent but not accepted
  • Member details:
    • Name and email
    • Role
    • Last login
    • Invitation status

Changing Roles

  1. Find team member
  2. Click on member or menu
  3. Select "Change Role"
  4. Choose new role
  5. Confirm change

Note: Only owners/admins can change roles.

Removing Team Members

  1. Find team member
  2. Click menu or "Remove"
  3. Confirm removal
  4. Member loses access immediately

Note:

  • Owners cannot be removed
  • Removing member doesn't delete their data
  • They can be re-invited later

Resending Invitations

If invitation wasn't received or expired:

  1. Go to Team page
  2. Find pending invitation
  3. Click "Resend Invitation"
  4. New email sent

Invitation Expiration

Invitations typically expire after:

  • 7 days (default)
  • Check your organization settings

If expired:

  • Send new invitation
  • Person needs new link

Best Practices

  1. Verify email addresses - Make sure email is correct before inviting
  2. Communicate beforehand - Let people know to expect invitation
  3. Choose right role - Start with Agent, promote as needed
  4. Track pending invitations - Follow up if not accepted
  5. Regular reviews - Check team page periodically
  6. Remove inactive members - Clean up old accounts

Once team members are added:

Shared Leads

  • Multiple people can work on leads
  • See all communications and tasks
  • Complete visibility

Assignments

  • Assign leads to specific team members
  • Track who owns what
  • Distribute workload

Team Activity

  • See what team is working on
  • Track communications and tasks
  • Monitor team performance

Troubleshooting

Invitation Not Received

  • Check spam/junk folder
  • Verify email address
  • Resend invitation
  • Check email isn't blocked

Can't Accept Invitation

  • Make sure using correct email
  • Check if already in organization
  • Try different browser
  • Contact organization owner

Role Permissions Issues

  • Verify user's role
  • Check if role has needed permissions
  • May need role upgrade
  • Contact owner/admin
