Using the Task Dashboard
The Task Dashboard is your central hub for managing all tasks across all leads. This guide covers how to use it effectively.
Accessing the Task Dashboard
Method 1: Sidebar Navigation
- Click "Tasks" in the left sidebar
- Opens the task dashboard
Method 2: Direct URL
Navigate to /dashboard/tasks
Method 3: Keyboard Shortcut
Use command palette (⌘K / Ctrl+K) and type "tasks"
Dashboard Overview
The task dashboard is organized into several sections:
Stats Cards (Top)
Four cards showing:
- Total Tasks - All tasks in your organization
- Pending - Tasks not yet completed
- Due Today - Tasks due today (highlighted in orange)
- Overdue - Tasks past their due date (highlighted in red)
These give you a quick overview of your task workload.
Tab Views
Switch between different views:
All Tasks
- Every task in the system
- Both pending and completed
My Tasks
- Tasks assigned to you
- Focus on your personal workload
Today
- Tasks due today
- Priority focus area
Overdue
- Tasks past their due date
- Critical items needing attention
Task List
Main area showing:
- Pending tasks - Shown prominently at top
- Completed tasks - In collapsible section below
- Task cards - Rich information for each task
Task Cards
Each task card displays:
Task Information
- Title - What needs to be done
- Completion status - Checkbox to mark complete
- Due date - When it's due, with relative time
- "in 2 days"
- "overdue by 3 days"
- "today"
- "tomorrow"
Visual Indicators
Urgency Badges:
- 🟥 Overdue - Red badge
- 🟧 Due Today - Orange badge
- 🟨 Due Tomorrow - Yellow badge
Status Indicators:
- ☐ Checkbox for pending tasks
- ☑ Checkmark for completed tasks
Associated Information
- Assigned to - Team member name and avatar
- Associated lead - Lead name with status badge (clickable link)
- Associated trip - Trip destination (if linked to trip)
Actions Menu
3-dot menu with options:
- Edit Task - Modify task details
- View Lead - Navigate to associated lead
- Delete Task - Remove task permanently
Filtering Tasks
Assignee Filter
Dropdown to filter by:
- All assignees - See everyone's tasks
- Team members - Filter to specific person
- Unassigned - Tasks with no assignee
Active Filters Display
When filters are applied:
- Visual chips show active filters
- Click X to remove individual filters
- "Clear all filters" button
Task Organization
Pending Tasks Section
Shown first with:
- Tasks ordered by urgency
- Overdue tasks at top
- Due today next
- Then by due date
Completed Tasks Section
Collapsible section showing:
- Recently completed tasks
- Can expand to see all
- Useful for reference
Creating Tasks from Dashboard
- Click "New Task" button (top right)
- Task creation dialog opens
- Fill in:
- Title (required)
- Due date (required)
- Optional lead association
- Optional assignee
- Click "Create Task"
- Task appears in list immediately
Quick Actions
Mark Complete
- Click checkbox on task card
- Updates instantly
- Moves to completed section
Edit Task
- Click 3-dot menu
- Select "Edit Task"
- Update details
- Save changes
Navigate to Lead
- Click on lead name in task card
- Opens lead detail page
- See full context
Delete Task
- Click 3-dot menu
- Select "Delete Task"
- Confirm deletion
Using Filters Effectively
Daily Workflow
- Open "Today" tab each morning
- See all tasks due today
- Work through them systematically
- Mark complete as you go
Catching Up
- Check "Overdue" tab regularly
- Prioritize overdue items
- Update due dates if needed
- Complete or reschedule
Team Management
- Filter by assignee
- See team member workloads
- Reassign tasks if needed
- Monitor completion rates
Focus Mode
- Use "My Tasks" tab
- Filter by assignee (yourself)
- Focus on your workload
- Reduce distractions
Tips for Task Management
- Review daily - Check tasks each morning
- Update regularly - Keep due dates current
- Use tabs - Switch between views for different purposes
- Complete promptly - Mark done immediately when finished
- Filter effectively - Use filters to focus on what matters
- Link to leads - Always associate tasks with leads
- Assign clearly - Make sure team knows who owns what
